Getting started

Who this is for

Anyone using Quote Builder for the first time, or anyone who can't get in.

Accepting an invite

Quote Builder is invite-only. You can't sign up yourself. An estimator in your business invites you from Setup > Team, and you get one of two things:

  • an invite email, or
  • a link sent to you by the estimator directly (for example by text or chat), if the app couldn't send the email.

If you already have a Quote Builder account, for example because you work with another business that uses it, you won't get an invite. You're simply added, and the new business appears the next time you sign in.

To accept the invite:

  1. Open the link in the email, or the link your estimator sent you. You see "Signing you in…" for a moment.
  2. If you see Welcome to Quote Builder, select Continue. This step is there so that a phone or chat app showing a preview of the link doesn't use it up.
  3. On the Set your password page, you can enter Your name. It's optional, but it's how you appear to the rest of your team.
  4. Enter a password in New password. It must be at least 10 characters.
  5. Enter it again in Confirm password.
  6. Select Save and continue.

You're now signed in and taken to your business.

Links expire after a while. If yours has, you see "That link didn't work" with a reason. Ask your estimator for a new one: they can use Get link next to your name on the Team page and send it to you.

Signing in

  1. Go to the Quote Builder sign-in page. It's headed "Quote Builder" and "Sign in to your business".
  2. Enter your Email and Password.
  3. Select Sign in.

If you see "Email or password not recognised", check both and try again, or reset your password.

Forgotten password

  1. On the sign-in page, select Forgotten your password?
  2. Enter your Email.
  3. Select Send reset link.
  4. You see "If that email has an account, a reset link is on its way." For your security, you see this message whether or not the email has an account.
  5. Open the link in the email. You're taken to Set your password.
  6. Enter your new password twice and select Save and continue.

To go back without resetting, select Back to sign in.

If the reset email doesn't arrive, ask your estimator. They can make you a fresh link only while you're still marked "invited, not signed in yet"; after that, ask your platform admin.

To change a password you still know, sign out and use Forgotten your password? in the same way.

Choosing a business

If you belong to one business, you go straight to it when you sign in.

If you belong to several, you see Choose a business. Select the one you want to work in.

To switch business once you're in, select the business name at the top of the sidebar, or at the top of the screen on a phone. It has a small arrow next to it when you belong to more than one. Pick another business from the list.

You can have a different role in each business. On a computer, the bottom of the sidebar shows your email and your role in the business you're looking at.

If you're signed in but don't belong to any business yet, the app says so. Ask your estimator to invite you.

Finding your way around

On a computer, a sidebar runs down the left of every page:

  • at the top, the business name, which is also the business switcher
  • the main sections: Dashboard, Quotes, Library, Setup and Audit log
  • at the bottom, your email and role, Platform admin (platform admins only), Help and Sign out.

On a phone or a narrow screen, the main sections are a bar fixed to the bottom of the screen instead, each with an icon above its name. A slim bar at the top has the business name, Help and Sign out.

Section What it's for Who sees it
Dashboard How your quotes are doing: drafts, quotes awaiting a decision, wins and losses Everyone
Quotes The list of all quotes, and where you create new ones Everyone
Library What quotes are priced from: the rate card, items, plant and labour Everyone
Setup How the business is set up: its details, nurseries, factors and settings, the team and client data Everyone
Audit log A record of every change and who made it Estimators and reviewers

Library and Setup each have a row of tabs across the top of the page. Which of those you see depends on your role.

Section Tab What it's for Who sees it
Library Rate card The priced list of work, with costs and build-ups People who can see costs
Library Price list The same list with sell prices only Quoting users who can't see costs (in place of Rate card)

Quote Builder works on a phone or tablet as well as a computer. On a narrow screen, wide tables turn into stacked cards, and the steps of a quote fold into a bar at the top of the page. Under each step, Back: and Next: buttons, such as Next: Nursery list, take you to the step before or after it.

Help opens this guide in a new tab.

Signing out

Select Sign out at the bottom of the sidebar, or at the top of the screen on a phone. If you're on the Choose a business page, the Sign out button is at the bottom.

If something goes wrong

A page that doesn't exist

If a link is out of date or an address is mistyped, you see "This page doesn't exist", or "That isn't here" inside a business. The page offers a way back, such as Go to the dashboard, All quotes or Choose a business. If you're not signed in, it offers Sign in, because the page may be one you need to sign in to see.

Inside a business, there's also a Looking for a quote? box. Type a reference, title, client or site and select Search.

Something went wrong

If a page can't be shown, you see "Something went wrong". Anything you had already saved is safe.

  1. Select Try again.
  2. If it keeps happening, tell support. The page shows a Reference: quote it, so support can find what happened.

Go to the dashboard takes you back to the start.

Both pages have links to the User guide and to Email support, where your business has them set up.
