Nurseries¶
Who this is for
Estimators and quoting users, who keep the list. Reviewers can read it.
Nurseries is your business's list of the nurseries you ask for plant prices, with an email address and a contact for each. On a quote's Nursery list you pick nurseries from it, email them their plants and send them pricing links.
For how to ask a nursery for prices, see Sending lists to nurseries and Pricing links. This page says what the nursery receives and sees.
Adding a nursery¶
- Go to Setup > Nurseries.
- Under Add a nursery, enter its Name, and its Email and Contact if you have them.
- Select Add.
Each name can be on the list only once, whatever its capitals.
You can also add a nursery from a quote: one you type there that isn't on the list is added to it.
Changing or removing a nursery¶
Change a name, email address or contact in the table. It saves when you leave the box.
To take a nursery off the list, select Remove. The app asks "Remove (nursery) from the list?". Select Remove (nursery) to go ahead.
Quotes keep their own copy of each nursery's name and address. Changing or removing a nursery here doesn't change quotes already made. To update a quote's address, edit it on that quote's Nursery list.
What the nursery receives¶
When you select Email next to a nursery on a quote's Nursery list, the nursery gets an email:
- From: your business's name. Replies come back to your own email address.
- Subject: "Plant list for pricing:" followed by the quote reference and version and your business's name, for example Plant list for pricing: BEE0042 v2 (Beesleys).
- The message asks the nursery to price the plants for your business, a price each excluding VAT, with availability. Under it is a table of the plants: Plant / tree, Size and Qty.
- A pricing link, on a draft version only: Enter your prices online, with the date the link works until. The nursery can use it, or just reply to the email. On a sent version there's no link, and the email asks the nursery to reply with its prices.
- The sign-off: your email address, your business's name, and its phone, email, website and address from Setup > Business details.
- An attachment: the same list as a spreadsheet (CSV file).
The pricing page¶
A pricing link opens a page for that nursery alone. The nursery doesn't need an account or a password.
The page shows your business's name, and is headed Plant prices for the quote reference and version, for example Plant prices for BEE0042 v2. It asks for a price each, excluding VAT, and anything to know about availability, and says the nursery can come back and change its prices until the date the link closes.
For each plant, the nursery sees its name, size and quantity, and fills in:
- Price each (£): leave it blank if it can't supply that plant.
- Availability: a note, for example "ready in March".
It then selects Submit prices. It sees "Thank you. Your prices have gone to (your business)." with the date it can change them until. If it comes back later, the button says Submit again, with when it last sent prices.
If a price isn't a number, the page asks for it again, for example "Enter the price for Acer griseum as a number of pounds, such as 12.50, or leave it blank". If it submits too often in a short time, it sees "Too many submissions. Please wait a few minutes and try again."
The page never shows your costs, other nurseries' prices or your client's details.
When the link has stopped working¶
A link that has closed shows "This link doesn't work any more". The page explains that pricing links stop working after 14 days, when the quote has been sent to the client, or when a newer link replaces them, and asks the nursery to reply to the email the link came in and ask for a new one. See Pricing links for every way a link closes.
When a nursery sends prices¶
The prices go straight into the nursery's column on the quote's Nursery list, with any availability note under the price. Under the nursery, the quote shows "Prices sent in" with the date and time.
Once email is set up for your business, the person who made the link gets an email:
- Subject: the nursery's name, "has sent prices for" and the quote reference, for example Provender has sent prices for BEE0042 v2.
- The message says the prices are on the quote's Nursery list now, with an Open the quote link.
